Give every case a complete identity
Use a unique work-order identifier and retain the dentist, patient reference, requested date, teeth, restoration, material and attachments. A printable label or QR can carry the identifier onto the production floor without replacing the digital record.
Track workflow position, not just general status
An order status such as accepted is not enough once production begins. Record the active station, previous completions and next required step. Keep a separate lifecycle for delivery and invoicing so production progress is not confused with financial completion.
Make delays and exceptions explicit
A held case should include a reason and remain visible in a manager's queue. Requested dates, station estimates and current holds provide more useful context than a broad overdue label. Notifications should point users back to the authoritative case rather than become another record.
Review tracking quality
Open a selection of active cases and ask whether a manager can identify the current location, responsible role, missing information and expected next action. If the answer depends on calling someone, the tracking record is incomplete.
